Order Fullfilment
As an exporter of houseplants, our fulfillment process must balance plant health, customer satisfaction, and strict international regulations.
Here's how we typically manage a successful export order from start to finish:
1. Order Confirmation
Once a customer places an order, we:
- Confirm product availability and plant condition.
- Verify customer details, destination country rules, and preferred delivery timeline.
2. Regulatory & Documentation Checks
Before preparing the shipment, we:
- Check import rules for the destination country (soil restrictions, banned species, etc.)
- Ask an import permit if needed (Example: United States required Import Permit)
- Apply export permit and obtain a Phytosanitary Certificate from our local agricultural authority. Estimated time 7–14 days on working days.
- Prepare customs paperwork: commercial invoice, packing list, and shipping labels.
Why this matters: Many countries ban soil, restrict invasive species, or require proof the plants are pest-free.
3. Plant Preparation
We carefully prepare plants to survive the journey:
- Inspect and select only healthy, pest-free specimens.
- Clean roots and ship plants either bare root or in inert media (e.g., sphagnum moss), depending on import rules.
- Treat roots with fungicide or insecticide.
4. Packing for Export
We use export-safe packaging:
- Wrap roots in moist sphagnum or paper towels and seal in breathable plastic.
- Secure the plant to avoid movement in transit.
- Use ventilated boxes with insulation if needed for hot/cold climates.
- Insert documents:
- Receipt Paper
- Commercial Invoice
- Phytosanitary Certificate
- Import Permit
- Care instructions (optional)
5. Shipping & Tracking
We select fast, plant-safe logistics:
- Use DHL Express
- Ship early in the week (Mon–Friday) to avoid weekend delays.
- Provide tracking and estimated delivery to the customer.
- Monitor shipment status and intervene if delays or customs issues arise.
6. After-Sales & Support
Once delivery is confirmed:
- We ask customers to inspect and photograph the plants upon arrival.
- Provide guidance for plant acclimation post-shipment (e.g., rest the plant, keep in shade, rehydrate).
- Offer a refund or replacement policy in case of severe damage, delays, or customs rejections (depending on terms).
